Opervanta Potential Analysis: where your processes are actually costing time and money
The potential analysis is a structured examination of your workflows – regardless of whether you subsequently work with us. You receive a written evaluation with prioritised recommendations and a roadmap you can implement on your own or with another provider. The analysis is paid – and precisely for that reason, open-ended.
What we look at
The focus is on processes and efficiency. Digitalisation is one possible lever, but not the only one – organisational changes often deliver results faster than new software.
Core processes
From order intake to invoicing: who does what, in which order, with what waiting times. We map the current workflow and highlight breaks, duplicated work and bottlenecks.
Roles & responsibility
Where responsibilities are unclear, queries, delays and errors arise. We check whether tasks, decision-making authority and cover arrangements are clearly assigned.
Commercial processes
Quotations, invoicing, dunning, document flow and reporting: does the data arrive on time, is it reliable, and is it actually used for decisions?
Information flow & filing
Where is information stored, who can find it, and how often is the same information captured multiple times? Media discontinuities are the most common hidden time sink.
Metrics & management
Which metrics exist, which are missing, and which are collected without anyone using them? Effective management needs few but reliable figures.
Automation potential
Which recurring tasks could be automated with reasonable effort – and which are better left as they are, because the exceptions are too numerous.
Two to four weeks from commissioning to evaluation
The effort on your side stays limited: essentially we need conversations with those involved and access to existing documentation.
Kick-off
We clarify the goal and scope of the analysis, name contact persons and agree which areas will be examined.
Data collection
Structured interviews with those involved, review of documents, figures and systems. Usually two to five meetings.
Evaluation
We assess the findings by impact and effort and estimate the benefit of each measure.
Presentation
You receive the written evaluation and the roadmap, and we discuss them together – including what you can implement yourself.
What you end up with
Not a slide deck full of platitudes, but a document you can actually work with. It describes the current state as found, names the concrete weaknesses with examples from your business, and ranks the measures by impact and effort.
Important: the roadmap also includes measures for which you don't need us. If a change can be implemented internally within two weeks, that is stated as such. An analysis that leads exclusively to offers from the analyst is not an analysis.
- Current-state assessment of the examined processes with a workflow diagram
- Findings list with concrete examples rather than general statements
- Evaluation of each finding by impact, effort and urgency
- Roadmap with sequence, rough effort estimate and responsibility
- Quick wins that can be implemented in the short term without investment
- Closing meeting to discuss and prioritise
Why a paid analysis delivers more than a free audit
Free analyses are sales tools. That is not reprehensible in itself, but it has a consequence: anyone who receives nothing for the examination earns from the outcome – and therefore tends to find precisely what they can subsequently sell. A paid analysis resolves this conflict of interest. We are paid for the examination, not for the implementation, and can therefore also conclude that your processes are sound and only need fine-tuning in two areas.
Who the potential analysis is suitable for
- Companies that have grown while their workflows have not kept pace with that growth.
- Businesses where a great deal of work is done, but the workload does not translate into results.
- Management teams facing a major investment decision who want to know beforehand whether the problem really lies where they suspect.
- Succession and handover situations in which the current state must be cleanly documented.
- Companies that have received several supplier proposals and need an independent assessment.
Distinction from the digitalisation check
The potential analysis looks at processes and organisation. Technology comes into it, but it is not the starting point. If your question is primarily "How modern and secure is our IT, and what should we digitalise?", the Opervanta digitalisation check is the more suitable format. Both can be combined; in that case we align scope and price so that no service is paid for twice.
What the analysis costs
The price depends on company size and scope of examination and is agreed in advance as a fixed price. For smaller businesses with a clearly defined area it is significantly lower than for an examination spanning several departments and locations. You receive the quote after a brief initial consultation – this consultation is free of charge.
